1: Please do not park or drive on any grassed area at any time. We work hard to keep the ground and grassed areas maintained. The area's water table is very high, do not ruin it for others.
Note: we reserve the right to charge for ground repair.
2: Prices are charged per night per unit. (For example: tent, caravan, motorhome, pod or static caravan.)
3: Arrivals time for the site is 2.00pm with the latest being 7.00pm. Staff will not be on site or on hand for late arrivals.
Office hours are: Mon - Sun: 9.00am - 12.00pm Office closes daily: 12.00pm - 2.00pm Office re-opens: 2.00pm - 7.00pm The office may be closed at anytime during business hours.
4:Booking in advance: to book in advance we require a non refundable deposit to the value of the first night's stay. If required, the final payment will be requested 14 days prior to arrival. You will be sent the request via e-mail to the address you booked with. The e-mail will contain a secure online payment link [Stripe] option to pay. Non Payment may cancel you stay. If you do wish to settle the whole bill earlier feel free to e-mail the site office where we can arrange this for you.
5: Cancellation conditions [General]: If the booking is cancelled less than 14 days before arrival, then a charge equal to the full booking amount will be made.
If the booking is cancelled 15 or more days prior to arrival, then a charge equal to the first nights stay will be retained.
In the event of a no show or booking reduction [After your arrival date] then the full cost of the booking is charged. We will not refund 'a change of mind' from guests once arrived.
If you have any doubts or concerns over your stay we highly recommend taking out suitable insurance with a reputable company to protect your costing.
6: Cancellation policy, event diary bookings and organised events: Bookings made under the event diary may will have been organised as a 'one off'. Where exclusivity has been awarded to competitors and supporters. The site may well be closed to the public. Due to this dispensation we require payment in full when booking.
If the booking is cancelled less than 14 days before arrival then a charge equal to the full booking amount will be made.
If the booking is cancelled 14 or more days before arrival then a charge equal to 50% of the full booking amount will be made.
In the event of a ‘no show’ or booking reduction [after arrival date] the full cost of the booking is charged.
We HIGHLY recommend competitors/supporters take additional cancellation insurance with a reputable company to protect your booking, particularly from injury.
7: Bank Holidays and peak periods: during the summer have minimum stay requirements. (Three days for Bank Holiday's) We will not accept non booked or “on the off chance” customers during Bank Holidays you must book ahead in a timely manner to avoid disappointment. Static caravans: 5 days minimum booking.
8: Pitch fees will not be refunded due to inclement weather early departure or late arrival.
9:Flooding: We inherited a site on a floodplain and have erected limited flood defences. We have a tried and tested action plan to move guests to a safe area should the need arise. If guests choose to leave the site and not take our advice then a refund will not be offered under any circumstances.
10: During busier times visitors may be given a label or sticker to affix onto their accommodation. To avoid any confusion, this should be visible at all times.
11: Dogs. Please ensure that dogs are kept on leads at all times. The management reserves the right to refuse admission and eject from the campsite any dog and/or owner which we consider inappropriate and a danger to others.
12: Dog mess is an eyesore and a health hazard. if you are a dog owner you have a legal duty to cean up every time your dog messes in a public place. Please dispose of any filled dog-waste bags into the general waste bins held on site.
13: Noisy or unruly dogs will not be tolerated. Owners are requested to address the issue; if it continues unchecked guests with their pets will be asked to leave. Many owners and their pets can be apart for the day with many none the wiser. [And most importantly, no stress to the animal] Other pets, due to the close proximity of passers by feel threatened and warn away potential invaders. All of this is understandable and a minefield for us and guests to manage. So.....to avoid any confusion, if you are fortunate enough to have a pet that is comfortable on it's own in your vehicle/tent, please let us know if you go out for the day with your pet staying on site.
14: Static Caravan: We wish our static caravans to remain totally pet free. Please do not bring pets into the static caravans, for any reason. We do this to maintain an area where persons allergic to animals can stay free from irritation. Any person violating this rule will incur a deep cleaning cost. [Cleaning will be carried out by a separate qualified agent and may incur further costings due to loss of revenue from cancelled bookings in order to achieve this]
15: Camping Insurance:It is up to individual campers to ensure they have insurance cover. Campers are responsible in securing and/or locking any personal belongings.(Bicycles for example) We do not have a lockable storage facility. Any visitors using our site or parking facilities do so at their own risk. Kielder Valley Services, management staff or employees shall not be liable for any loss or damage to property or personal injury sustained whilst on the campsite premises, howsoever caused.
16: A strict 5 mph speed limit applies on the site at all times.
17: Quiet Time and Noise:One of the main ingredients to camping at Kielder is peace and quiet. Please respect other campers on our site, by keeping noise to a minimum. We operate a quiet time from 10pm - 8am; requiring all campers to adhere to this ruling, this includes children and pets under your charge.
18: The above ruling includes turning music down. From our experience, at this peaceful location, sounds are amplified at night. It is up to the individual to be aware of this if out and about after 10pm. Management reserve the right to terminate the booking of any person whose conduct is detrimental to the campsite or comfort of other visitors. However, be aware that booking a visit during a bank holiday or peak period brings it's own 'hustle and bustle' and an increase in activity. The site will inevitably be a degree noisier.
19: Group Bookings:We are pleased to accommodatee condiderate groups of friends or familes. Please specify when booking so we can make sure you are all pitched together. We wish this site to be family friendly. We do not allow stag/hen groups. This includes guests who book individually and then meet up, and by their actions disturb others. Late night noise/partying will not be tolerated. You will be asked to leave if found to have contravened this request. For those around anyone doing so, to report this the next day is a waste of time. We request any complaints be reported as it happens in order to substantiate claims. A 'he said, she said' conversation the next day is difficult to address or prove. We in no way wish to be the 'fun police' but Kielder Campsite will take a stance on the type of guest we do NOT wish to accommodate. Experience has shown that groups of inconsiderate campers ruin other guests stay. We reserve the right to charge a fee if any member of any group does not follow our site policies. 20: Late arrivals: Please plan your route and arrival prior to departure. It takes longer to get here than many imagine. During the earlier and later times of the season it is advisable to plan ahead so you can arrive before dark or thereabouts. The site is in the centre of a 'Dark Sky Park.' There are no street lights on site and unless you are a regular visitor to the site you may find it difficult to navigate your way around. Hard stand late arrivals are advised to park at the late arrivals point, near the bridge. Using the map link below, the late arrivals parking point is marked on the map next to pitch number 1:
21: Observatory visits: We are the closest camping site to the observatory. Best practice for such a visit is to arrive to the site in good time. We have an observatory information section on our homepage for your perusal. Observatory info
22: Early Departure:If you do need to leave the site earlier than 8.00am please keep the noise to a minimum.
23: Arrivals and departures: Please do not arrive before 2.00pm on the day of your visit. We are usually busy preparing the site for that day's arrivals. Departure times are as follows: Hardstand and tent pitched guests please depart by midday. Pod and static caravan guests by 11.00am on the day of departure. All guests feel free to park in the site car park, towards the pub if you wish to enjoy the area and take the day.
24: Pod and Statics: The hirer is responsible for the contents and fabric of the holiday pod or caravan during the period of your booking. Please leave our accommodation as you would expect to find it. If you leave the caravan or pod in an untidy state we reserve the right to charge for any extra cleaning. We understand that accidents happen, please inform staff of any damage in a timely manner so we we have an opportunity to rectify the issue for the next guest.
25: Internet - wi-fi - mobile phone coverage: Due to the limited mobile phone coverage we offer a free wi fi option. BT guest with no password. You will be able to access this around the ablutions area. It is not site wide.
26: We endeavour to maintain all services in a fully operational state, but cannot be resposible for loss of water, water pressure, electricity, weather conditions or factors beyond our control.
27: Chemical toilets and grey water: these can only be emptied at the correct location. This is situated next to the ablutions.
28: Litter damage to the site and leaving tents:Please do not litter or damage our campsite, it is unsightly, lazy and illegal. Persons found to leave litter, tents, gazebo's, rubbish or damage to our grass will incur a charge of up to £100 for disposal, clearance or repair.
29: Generators: are not permitted on site.
30: Fires:These are not permitted. CCTV coverage will capture any pitches flaunting this request.
31: Barbecues: we have barbecue stands around the site for guests to use. Please use common sense and ensure any barbecues are either on rocks or are high enough up so as not to damage the grass.
32: Electric hook up:These are rated at 10 amperes and are to supply camping and caravanning appliances only. We do not allow Electric Vehicle [EV] charging. There is an EV charging post in Kielder Village near the school and at Kielder Waterside ten minutes drive away.
33: Children under the age of 16 must be accompanied by an adult at all times.
In the event of a seious breach of the above conditions, Kielder Camping and Caravanning site (Kielder Valley Services) and it's owners and/or staff reserve the right to terminate a holiday/pitch booking asking the offenders to leave the campsite. The ground is owned by Forestry England. Further actions (Criminal or Civil) may be forthcoming from other agencies if deemed fit.
Force Majeure
You agree that Kielder Camping and Caravanning site (Kielder Valley Services) will not be held liable for any: Act of God including tempest, fire, flood, storm or natural disaster. War, civil war, sabotage or act of terrorism. Government sanction, embargo, import or export regulation or order. Labour disputes, including strikes, lockouts, boycotts or other industrial action. Failure in the transportation of equipment, machinery or personnel or in the provision of any utility including power, gas, water or communication services.
This contract will be governed by the laws of England and Wales.
